Cloud CRM is customer relationship management (CRM) software that a vendor hosts online.1 2 Salesforce, incorporated in 1999, was built on this model and sold its CRM by subscription.3 Nowadays, the leading platforms, such as Microsoft Dynamics 365 and HubSpot, are sold the same way.4 5 Their vendors update the software for every customer, and new AI features arrive through those updates.1, 6, 7,
Teams open the CRM in a web browser or a mobile app, with no servers to run.1 The vendor runs the data center and the servers.4 The company still owns its data, its user access, and its CRM setup.4 That's why the cloud changes who maintains the CRM, not who answers for it.
What is cloud CRM?
Cloud CRM is a CRM system delivered as software as a service (SaaS), on infrastructure that the vendor manages.2 It is also known as cloud-based CRM, online CRM, or SaaS CRM.
It is more than just a CRM in a browser, though. The vendor also stores the data and applies the security patches.1 4 As such, the company pays a subscription for a working CRM, instead of running one.
Below are the parts that every cloud CRM has:
- The application that the teams work in
- The database that holds the customer records
- The vendor's data centers and servers
- The web and mobile apps that open it
Many guides to cloud CRM are written by the vendors that sell it. CRM-only consultancies like Vegacompass sell no CRM licenses, so the advice is not tied to one platform. Our work covers strategy, technical delivery, and applied AI across five CRM platforms.
How does a cloud-based CRM system work?
In most cloud CRMs, the vendor pools its servers across many customers, a setup known as multi-tenancy.2 Each company still works in its own account.
Below is how a cloud CRM works day to day:
- Hosting: The CRM runs in the vendor's data centers, often in several regions.2 HubSpot, for example, assigns each new paid account to one in the US, the EU, Canada, or Australia.5
- Access: Users sign in from a laptop, a tablet, or a phone.2
- Subscription: The company usually pays per user and by tier, monthly or yearly.
- Updates: The vendor upgrades all its customers at once, often on a published schedule. Salesforce ships three major releases a year, and Microsoft Dynamics 365 ships two release waves.6 7
- Integrations: Other systems, such as email and the enterprise resource planning (ERP) system, connect through connectors or application programming interfaces (APIs).
Please note that an update reaches every customer, including those with heavy customization. As such, Microsoft lets admins test each release wave in a sandbox before it reaches production.7
Benefits of Cloud-Based CRM
Most benefits of a cloud-based CRM come from one change. The vendor runs the system, and the company runs the process.
Below are the main benefits of cloud-based CRM:
- Lower Upfront Cost: There are no servers to buy or maintain. The cost becomes a subscription that grows with the team.1
- Faster Start: The project starts with the sales process, not with installing servers and software.2
- Access from Anywhere: Reps in the field and agents at home work on the same records.1
- Automatic Upgrades: New features arrive with each release. As such, there is usually no separate upgrade project to fund.6 7
- Backups and Continuity: The vendor backs up the data, so a lost laptop does not take the records with it.1
- Easy Scaling: Seats can be added as the team grows, and the bill follows the seat count.1 2
- AI on the Same Records: New AI features arrive through the same updates and work on the records that the teams already keep.
Cloud CRM vs. On-Premise CRM
An on-premise CRM runs on the company's own servers, and its IT team maintains it.1 Dynamics 365 Customer Engagement (on-premises) is one example, and many open-source CRMs can be self-hosted too.8 9
As such, the company controls the data and the code. It also patches the servers and runs every upgrade, and Microsoft's release waves do not apply to that edition.7
Cloud CRM hands that work to the vendor, and some vendors offer both. Odoo runs on Odoo Online, on Odoo.sh, or on the company's own server.9 Note that Odoo Online does not accept non-standard apps, so custom modules need one of the other two.9 10
The difference is simple. On-premise gives the company more control, while the cloud gives it less to maintain.
Below is a quick comparison of cloud and on-premise CRM:
| Cloud CRM | On-Premise CRM | |
|---|---|---|
| Hosting | The vendor's data centers | The company's own servers |
| Upfront Cost | Low, paid as a subscription | Higher, for servers and setup |
| Upgrades | Automatic, on the vendor's schedule | Planned and run by the company |
| Custom Code | Within the vendor's limits | Full control |
| Data Location | The vendor's regions | Wherever the company chooses |
| New AI Features | Arrive with the updates | Often missing |
| Best For | Most sales and service teams | Strict data rules and a strong IT team |
Types of Cloud CRM: Public, Private, and Hybrid
Cloud CRMs come in three types, based on who shares the infrastructure.2
1. Public cloud CRM
A public cloud CRM runs on infrastructure that the vendor shares among all its customers.2 Salesforce, HubSpot, and Dynamics 365 are sold this way.1 4 5
- Shared infrastructure, separate accounts
- Upgrades on the vendor's schedule
- Ideal for most companies that want a working CRM quickly
2. Private cloud CRM
A private cloud CRM runs on infrastructure set aside for one company.2 ServiceNow, for example, offers dedicated hardware in its data centers.11
- More control over where the data sits
- Usually a higher cost and more administration
- Ideal for companies with strict data or security rules
3. Hybrid cloud CRM
A hybrid cloud CRM joins a public cloud CRM with systems kept in a private cloud or on the company's premises.2 For example, the CRM runs in the cloud, while the invoices stay in an ERP system on the company's servers.
- Sensitive data can stay where the rules require
- More integration work to build and monitor
- Ideal for companies moving to the cloud in stages
Who manages a cloud CRM?
The vendor and the company manage different parts of it. Microsoft's shared responsibility model shows the split for SaaS.4
Below is how the split usually works:
- The Vendor: The data center, the servers, the network, and the operating system.4
- The Company: The customer data, the users and their access, and the CRM settings.4
- Both: The application, which the vendor runs and the company configures, and the devices that open it.4
Inside the company, an admin looks after the settings, and the sales or revenue operations lead decides the process. One more important thing to note is that uptime does not cover a wrong permission or a bad import. Fixing those stays with the company only.
Key Features of Cloud CRM Software
The core features of cloud CRM software look alike across vendors.
Below are the features that most cloud CRMs include:
- Contact and Account Records: Every person and company, with their emails, calls, and meetings.
- Sales Pipeline: Deals by stage, with the forecast built on them.
- Marketing Automation: Emails, forms, and lead scoring that pass ready leads to sales.
- Case Management: Service requests as cases, each with an owner and a deadline.
- Workflow Automation: Rules that assign records, send reminders, and update fields.
- Reports and Dashboards: Live numbers for the pipeline, the service queue, and the campaigns.
- AI Agents: AI that summarizes records, drafts replies, and handles routine tasks.
Please note that how deep each feature goes depends on the tier, and marketing and service are often sold separately.
Popular Cloud CRM Software and Solutions
Below are five widely used cloud CRM platforms, in no particular order.
1. Salesforce
Salesforce sells Sales Cloud, Service Cloud, and Marketing Cloud on one platform.12 It suits companies with complex processes that plan to add more clouds over time.
2. Microsoft Dynamics 365
Dynamics 365 Sales works with Microsoft 365, and it brings Copilot and agents into the sales app.13 It suits companies that already work in Microsoft 365.
3. HubSpot
HubSpot sells Marketing Hub, Sales Hub, and Service Hub on one shared platform.14 It suits growing teams that want marketing and sales on the same records.
4. ServiceNow Customer Service Management
ServiceNow Customer Service Management (CSM) runs on the ServiceNow AI Platform, which brings AI agents, data, and workflows together.15 It suits service-led companies that already use ServiceNow.
5. Odoo
Odoo is an open-source suite that pairs its CRM with sales and inventory apps.16 17 It suits companies that want the CRM tied to their stock and orders.

Cloud CRM and AI
Most AI in a CRM now runs in the vendor's cloud, on the records that the teams keep. Salesforce has Agentforce, Microsoft has Copilot and Copilot Studio, HubSpot has Breeze Assistant and Agent Hub, and ServiceNow has Otto.18 13 19 15 As such, the AI is only as useful as the records it reads.
Below is the order that usually works:
- Clean Records and Clear Rules: The duplicates, the empty fields, and the access rules are fixed first.
- The Platform's Own AI: Turn on the vendor's built-in features before buying anything extra.
- A Custom Agent Last: Build one only where no built-in feature covers the job.

How to choose the right cloud CRM software
At Vegacompass, we say the sales and service process should pick the CRM, not the demo.
Below are the checks that decide the choice:
- Map the process first: Write down how leads, deals, and cases move today, spreadsheets included.
- Count the full cost: Add the sales and service seats, the add-ons, and the admin time, for today's team and next year's.
- Check where the data lives: Ask which regions the vendor offers, and match them to your data rules.
- List the integrations: Name every system that must connect, and test the hardest one during the trial.
- Plan the exit: Ask how the full data, history included, comes out if you leave.
- Test your own scenarios: Run the trial on your own records and cases, not on the vendor's demo script.
On the other hand, if you already run a CRM, a CRM audit shows whether the problem is the platform or the setup. Ours generally takes two weeks and ends in one written diagnosis.
