D365 Record Sharing — Privacy Policy

1. Introduction

Vegacompass (“we”, “our”, or “us”) is committed to protecting your privacy and ensuring that your personal information is handled securely and responsibly.

This Privacy Policy explains how the D365 Record Sharing Application (“Application”) processes information when used within Microsoft Dynamics 365 and Microsoft Power Platform.

By installing or using the Application, you agree to the practices described in this Privacy Policy.

2. About the Application

The D365 Record Sharing Application enables Microsoft Dynamics 365 users to securely share records between authorised users by leveraging Microsoft Dataverse, plugins, and a custom sharing configuration table.

The Application operates within the customer’s Microsoft Power Platform environment.

3. Information We Process

The Application may process the following information as part of its normal operation:

• Microsoft Dynamics 365 record identifiers
• User identifiers (such as Microsoft Entra ID or Dynamics user IDs)
• Record ownership information
• Sharing permissions
• Audit and operational information necessary to execute record sharing

The Application does not intentionally collect sensitive personal information unless such information already exists within the customer’s Dynamics 365 environment.

4. Data Storage

The Application stores its operational configuration and sharing information within Microsoft Dataverse in the customer’s Microsoft tenant.

Vegacompass does not operate independent databases for customer business data unless separately agreed in writing.

5. Use of Information

Information processed by the Application is used solely to:

• Share Dynamics 365 records between authorised users
• Maintain sharing configurations
• Execute sharing plugins
• Support application functionality
• Troubleshoot technical issues when authorised by the customer

6. Data Sharing

Vegacompass does not sell, rent, or trade customer information.

Information processed by the Application is not shared with third parties except:

• where required by law;
• where authorised by the customer;
• where necessary for Microsoft cloud services used by the customer.

7. Microsoft Services

The Application operates on Microsoft Dynamics 365, Microsoft Dataverse and Microsoft Power Platform.

Microsoft’s collection and processing of data is governed by Microsoft’s own legal terms and Privacy Statement available at: https://privacy.microsoft.com/privacy

This Privacy Policy applies only to the D365 Record Sharing Application published by Vegacompass.

8. Security

Vegacompass follows reasonable administrative, technical and organisational measures to protect information processed by the Application.

Security also depends upon the customer’s Microsoft 365, Dynamics 365 and Power Platform security configuration.

9. Data Retention

Operational sharing information remains within the customer’s Microsoft environment unless removed by the customer.

Vegacompass does not retain customer business data outside the customer’s tenant unless explicitly agreed for support purposes.

10. Customer Responsibilities

Customers are responsible for:

• configuring Dynamics 365 security roles;
• assigning user permissions;
• complying with applicable privacy laws;
• ensuring authorised use of the Application.

11. International Data Transfers

Any data processing performed by Microsoft cloud services is subject to Microsoft’s applicable data residency and transfer commitments.

Vegacompass does not independently transfer customer business data outside the customer’s Microsoft environment unless authorised by the customer.

12. Your Rights

Depending on your jurisdiction, you may have rights regarding personal information, including rights to access, correction or deletion.

Requests should generally be directed to the organisation that owns the Microsoft Dynamics 365 environment in which the Application is installed.

13. Changes to this Policy

Vegacompass may update this Privacy Policy from time to time.

The latest version will always be available through the Microsoft Marketplace listing or our website.
