Offline CRM software is a customer relationship management (CRM) system that keeps working without an internet connection. Nowadays, most popular CRMs run in the vendor's cloud, and some stop working once the signal drops.1 2 This matters most to field sales reps, service technicians, and teams in low-coverage areas.

The offline features also differ from one vendor to the next. Some offline modes only show the records a user opened recently.3 Others also let the user create and edit records, then sync them later.4 As such, it is always better to check the vendor's current documentation before buying.

What is offline CRM software?

Offline CRM software, also known as an offline-capable CRM, keeps records usable when the connection drops.

Below are the two kinds:

  • Installed CRM: A desktop or on-premise CRM that the company runs on its own computers or server.
  • Cloud CRM with an Offline Mode: Its mobile app keeps a copy of the records and syncs the changes once back online.3 4

An offline mode is more than just contacts saved on a phone. Offline edits must later reach the main database without overwriting a colleague's work.

Vegacompass is a CRM-only consultancy, and we earn nothing from the licenses our clients buy. Our CRM selection work tests each shortlisted platform on the client's own scenarios.

Benefits of Using Offline CRM Software

Offline CRM software pays off where the signal is weak.

Below are the main benefits:

  • Work Without a Signal: Field reps can open and update records in basements, factories, and on rural routes.
  • Notes Logged on the Spot: Visits are logged right after the meeting, while the details are fresh.
  • Changes Saved for Later: Edits wait on the device and sync once the connection returns.3
  • A Faster App: The app works from a copy on the phone. Microsoft says this makes it more responsive and easier on the battery.2
  • Control over the Data: With an installed CRM, the company decides where the records live.

Top 5 Offline CRM Software in 2026

Below are five CRMs that work offline, in no particular order. The first three are cloud CRMs with an offline mode, and the last two are installed.

1. Salesforce

Salesforce works offline through its mobile app for Android and iOS.3 An admin turns on caching and Offline Edit in Setup.5

How it works offline

  • Recent records cached on the phone for 30 days3
  • Create, edit, and delete records with Offline Edit3
  • Changes synced later, with a warning on conflicts3
  • Ideal for sales and service teams already on Salesforce

Salesforce Field Service adds briefcases, which let admins choose the records each technician carries.6 Offline features are no longer part of new Salesforce Mobile App Plus contracts, though, as of July 31, 2026.7

Please note that logging out clears the cache. A rep who logs out before a site visit arrives with an empty app.3

2. Microsoft Dynamics 365

Microsoft Dynamics 365 works offline through its mobile apps once an admin adds the user to a mobile offline profile.8 9 The profile sets which tables and records go to the device, and how often they sync.9

How it works offline

  • Accounts, contacts, leads, and opportunities created and edited offline8
  • Assigning records and running reports still need a connection8
  • Sync intervals from five minutes to a day in Field Service10
  • Ideal for Microsoft-centric sales and field service teams

Dynamics 365 Customer Engagement (on-premises) is the installed edition. Version 9 has mainstream support until January 12, 2029, and extended support until January 9, 2031.11

Please note that business process flows do not run offline. A rep can move a deal to its next stage only once the app is back online.8

3. Zoho CRM

Zoho CRM is a cloud CRM whose mobile app keeps working without a signal.4

How it works offline

  • Records stored on the phone for offline use12
  • Add, edit, and delete records offline12
  • Automatic sync once the phone is back online4
  • Ideal for small and mid-size sales teams

Please note that Zoho's help pages do not say how the app handles a clash when someone edits the same record online. Test it during the trial by having two users edit one record.

4. Act! Premium Desktop

Act! Premium Desktop is an on-premise CRM. The company deploys and manages the software itself, and Act! lists networked and offline access among its features.13

For staff away from the office, an admin creates an offline database for each remote user, which syncs over the network or the internet.14 15

How it works offline

  • Installed and managed by the company13
  • Offline databases for remote users14
  • Sync over the office network or the internet15
  • Ideal for small teams that want a desktop CRM under their own control

Please note that Act! marks its email marketing features as not available on Desktop.13 Teams that send campaigns from the CRM should check this before buying.

5. SuiteCRM

SuiteCRM is an open-source CRM that the company installs on its own web server.16 When that server sits in the office, the team can keep using the CRM while the internet is down.

How it works offline

  • No license fee, under the AGPL-3.0 license17
  • Linux, Apache, MySQL or MariaDB, and PHP underneath16
  • Backups, patches, and upgrades handled by the company's own IT team
  • Ideal for teams with in-house IT that want full control of the data

Please note that Odoo Community can be self-hosted the same way. Odoo Enterprise, however, must reach Odoo's servers once a week to check its subscription, even when the company hosts it.18

Offline CRM Software Comparison Table

Below is a side-by-side view of the five:

CRM Type Works Offline On Data Lives In Best For
Salesforce Cloud Mobile app Vendor cloud, phone copy Field sales and service
Microsoft Dynamics 365 Cloud or on-premise Mobile apps, offline profile Vendor cloud or own servers Microsoft-centric teams
Zoho CRM Cloud Mobile app Vendor cloud, phone copy Small and mid-size sales teams
Act! Premium Desktop Installed Office network, offline databases Own computers or server Small teams wanting a desktop CRM
SuiteCRM Installed, open source Office network Own server Teams with in-house IT

On-Premise CRM vs. Offline CRM vs. Cloud CRM

On-premise and cloud describe where a CRM runs. Offline describes what happens when the internet drops.

Below is how the three compare:

  • On-Premise CRM: The company hosts it on servers it controls. It works offline only for the people on the same network as the server.
  • Cloud CRM: The vendor hosts it, so it needs a connection unless its app has an offline mode. In HubSpot, for example, the mobile app cannot create, edit, or view records offline.1
  • Offline CRM: Either of the two, set up to keep working without the internet.

Who should use offline CRM software?

Offline CRM software suits teams that work where the connection cannot be trusted.

Below is the short version:

  • Who it suits: Field sales, field service, and site teams in plants, warehouses, or rural areas.
  • Who should look elsewhere: Office-based teams with steady internet.
  • For everyone already on a CRM: Check the offline mode the current platform already has, if any, before buying a new CRM.

How to choose the right offline CRM software

At Vegacompass, we say an offline mode should be tested where the signal drops, not in a meeting room.

Below are the five checks to run:

  • Map the dead zones: List the sites and routes where your team loses coverage.
  • Count what must travel: Decide which records each person needs offline, and check the setup holds them.
  • Ask about conflicts: Find out what happens when two people edit one record, one of them offline.
  • List what stays online: Note the steps that still need a connection, such as reports.
  • Count the server work: For an installed CRM, name who will patch and back up the server.
